Paid Out is the ability to take money out of the cash drawer for expenses while keeping an accurate record. For example, giving gas money for a delivery. Paid Outs appear on the Close Out Report. This feature may be password protected, in "POS Passwords" in SYSTEM MANAGEMENT (10.2.6.3 field 19 page 1), so that only authorized people may access this feature. To create a Paid Out, you must change the Order Type to <PO>.


NOTE: There is an option in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 50 page 3) that enables Paid Outs to be posted to the General Ledger. The Paid Out Code must be assigned a specific General Ledger Account number in “Paid Out Code Entry” in SYSTEM MANAGEMENT (10.2.6.6). When finalizing a Paid Out, you will be prompted for the amount and the code. Paid Outs should be proofed with the “Paid Out Report” (6.14.1) and Posted in “Post Paid Outs to Accounting” (6.14.2) in ACCOUNTS RECEIVABLE.


NOTE: If the “Post Paid Outs to GL” is set to Yes in "POS Defaults and Comments" in SYSTEM MANAGEMENT (10.2.6.2 field 50 page 3), then the Paid Outs made after the flag is set will be posted to the General Ledger. Paid Outs made before this flag was set must be voided and recreated in order to be posted.


Enter in the Paid Out amount and press <ENTER>.


Enter in the Paid Out Code and press <ENTER>.


A Paid Out Advance prints a receipt and puts the Paid Out on Hold. This is very useful to make corrections to the Paid Out. For example, the driver takes $10 for gas and returns $2. You can go back into the Paid Out and change it to $8.


To Print the Paid Out Advance, at the Enter Selection Prompt type <PO> and press <ENTER>. This will print to the assigned printer.
