5.2.10 Physical Inventory Count Sheet

Print this form when you take a physical inventory. Mark your count on the sheet and then correct the Quantity on Hand, where necessary.


The Physical Inventory Count Sheet is Location specific.


You may choose a range of part numbers by entering a Beginning and Ending Part Number.


Choosing a specific Group Code may narrow this report further.


You may also select and/or sort the Inventory by Bin Location. You have the option to sort by Bin Location including Overstock Bins and print the QOH, Replenish Level and Capacity for the Bin Location.


When sorting by Bin Location (option <Y> or <O>), you will be prompted with: Do you want to Page Break on the first character of the Bin Location?


If either of the Sort By Bin Location options (<Y> or <O>) are selected, you can choose to Include Defective QOH. If Bin Rules exist for the location specified, the report will include bin location in the output and allow sorting by bin location when including Defective QOH. If left blank, the inventory will sort by Part Number or if Group Code is entered, then sorted by Group Code then Part Number.


The Sorting on this report can be changed to match the system through TCL. The LOCATE.AR function in TCL is a program written to emulate sorting done by the Database Management System (D3), but there are slight differences when you run "Change Quantity on Hand" in INVENTORY (5.6.1.1) and you use the <+> for the next page. If you need the Physical Inventory Count Sheet to precisely match the system, an entry must be made in the MASTER file called PHYS.INV.LOCATE.AR. If this option is set, the report will run slower because it has to perform a secondary sort after selecting parts.

You may print Part Numbers with Overstock Bins only.


You also have the ability to print Part Numbers if the Bin Location QOH is less than or equal to the Replenishment Level or if the Bin Location QOH is less than zero.


You may print only those part numbers with a Quantity on Hand greater than zero, or Stock Level greater than zero. 


You may also print only those part numbers with a Quantity on Hold greater than zero.


You may Include Defective QOH in the Physical Inventory Count Sheet. Enter a <Y>, to include Defective QOH in the QOH column on the report. Enter an <O> to print Defective QOH Only, and only print Part Numbers with a Defective QOH.


The count line may be printed after the Part Number or at the end of the line. It is recommended that you only print the count line after the Part Number if most or all of your Part Numbers have only one Unit of Measure.


A Summary Report will list the part number, description, unit of measure, warehouse location and count line. The Physical Inventory Count Sheet will print on narrow computer paper, at 10CPI, when the Summary is chosen.


The Detail Report will list the above, along with location data detail. Also listed on the Detail Report is Quantity on Hold (QHD) and Total Quantity (QHD + QOH). Since this is very useful because the QHD is actually part of your physical inventory, though not included in the QOH. The Popularity Code will print on the Detail Report.


The report will automatically include the Rental Out Quantity in the QOH. If Rental Out Quantity is detected, then the Note at the bottom of the report will read:  Parts with Rental Out Quantity have that quantity included in the QOH on this report.
