You may use this program to manually change the Quantity on Hand (QOH). This program is designed for speed. Every time you enter the QOH for the last Unit of Measure it is automatically saved. You may always go back and make corrections if a mistake was made. The automatic save feature will save on keystrokes.
You will only have to enter the Salesperson Code once per entry session. This is used for an audit trail to track who made changes to the Quantity On Hand.
The Reason will help you track the changes in the Quantity on Hand. (Example – “Correct quantity from physical count.”)
At the “Part Number” field you may manually enter the part number or have the system select a list by Bin Location.
To select a list by Bin Location, enter a <B> and press <ENTER>. Now enter the Bin Location. Once selected, the <ENTER> or <+>key will retrieve the next part number in the Bin Location list.
Entering a <P> will retrieve the previous part number in the list. Exit the program to stop the list and have the part number field work as it normally does by Part Number.
You have the option of manually editing Defective QOH by entering <D> for Defective QOH entry. Use this to Activate and Deactivate Defective QOH Entry. When activated, a new prompt, “Defective QOH” appears under QOH field. You may only enter Defective QOH at this time. This option is automatically deactivated once you exit the Change QOH program.
Entering <F> Full Screen Entry by Bin Location, at the Part Number field at the top of the screen will allow Full Screen editing of QOH by Bin Location. If Bin Rules are in effect, the program will check for Bin Type when updating QOH. Defective QOH, defective Bins, Journal Entries, and the Inventory Audit file will properly reflect changes made to Defective QOH whenever the quantity is changed for a defective bin loc. Users that are not using Bin Locations can still use this feature, the Bin Location field will be blank. You will be prompted to Sort Inventory by <P>art Number or by <B>in Location.
When using the <F>ull Screen option in Change Quantity on Hand, there is an option to select the <P>revious List (Sorted By Bin Loc or By Part Number). This is location-specific, so all users entering physical inventory from the specified location will have access to the same list. The list must be less than 7 days old to be considered usable. Since the list is location-specific this will allow managers to create this list the night before a physical inventory.
You can enter <C> to Create a Bin Location for the current Part/Unit of Measure while using the Full Screen Option. This will take you to "Bin Loc Entry" (5.1.16), where the bin information for that Part/Unit of Measure can be added, removed, or changed. Upon saving the changes, you will be returned to "Change Quantity on Hand" and the screen will be refreshed to display the updated information. All other users using the same list at the same location will also be updated with the new list as soon as they press the next <Enter> key. Lists will also be updated immediately when anyone goes directly into “Bin Loc Entry” (5.1.16) to make changes.
You will only have to enter the Location once per entry session.
Remember, the information is automatically saved after you press <ENTER>, after the last Unit of Measure's QOH. All changes in the Quantity On Hand will be recorded for the QOH Audit Report.
You may Not change the Quantity on Hand of Non-Inventory or Service Part Numbers.
You may set the program to automatically create a “Journal Entry” in the GENERAL LEDGER (8.1.1). This feature must be turned on in “Inventory Setup” in SYSTEM MANAGEMENT (10.2.4.2 field 9). If this feature is turned on you have the option of entering the General Ledger Account to offset when the QOH is changed. You also have the option of creating one Journal Entry per change, one Journal Entry for all changes or one Journal Entry for each Port Number.
