How To Close Out End of Day

There are 3 Main Steps to closing out the End of Day.


  1. Counting and cashing out your cash drawer(s).


  1. Rolling the Invoice Date for the next day.


  1. Running the file save and backing up your data.


Counting and Cashing your Drawer and Rolling the Invoice Date:


  1. Count your cash for the day’s deposit from your cash drawer.  If you have more than one drawer, count them out and add them up.


  1. Go to 10.1.1. 


  1. Enter your Servicing location to cash out, or hit ENTER for ALL locations.


  1. Hit ENTER for ALL port numbers.


  1. Enter the amount of the day’s deposit which you have just counted from your cash drawer.


  1. Enter the letter “P” to print the close out report.


  1. Double-check your drawer against the close out report for the day.  The close out report will tell you if you are over or short depending upon the amount you entered in for the day’s deposit.


  1. To ROLL THE INVOICE DATE make sure to hit the letter “R” and then ENTER.


  1. The computer will tell you that the ports have been rolled.


Running the File Save and Backing up your Data:


  1. From the main menu, go to 10.1.11. (It may take a moment for the computer to scan the ports them actually pop up the screen.  If it is a little slow, do not worry, its normal).


  1. It will probably tell you that the files save should not be run with ports logged on. This is for the following reason: if people are working, and the file save is trying to run while work is being done, then the data will not be backed up correctly.  Yet, many times Perfection Software may have background processes running and those processes use ports.  Those ports will not be logged off.  But, if there are people working on terminals through the store, and you want to start the file save immediately, then you will need them to log off.


  1. When you know everyone who would be working on a terminal is logged off then hit “C” to continue the file save.


  1. Hit “F” to perform the file save.


  1. Your choice now is to hit ENTER to start the file save immediately, or you may enter a future time in the might for the system to automatically begin the file save.  The reason for giving the system a future time in the night is because some of our customers have a program called Accuterm which they use to dial into the store during the early evening to work from home.  If they begin the file save immediately then they would not be able to work on the system.  Others may set the file save for a later time in the night and then log back onto one of the terminals to keep working on something they need to get done.  In either case the rule stands: Do not work on the system while the file save is running. 


  1. Protocol for Perfection Software is that you enter 2:00 for 2 am at the prompt and set the file save to run at 2:00 in the morning.  That way any work you may need to do on another terminal may be done.


  1. When the file save is set, it will let you know this on the screen by attaching the tape and readying itself for 2:00am.  You can now shut off the MONITOR ONLY to save its screen.  Do not shut off the main CPU.  If you shut off the main CPU you will shut down the whole system and the file save will not execute because it has no power.


These 3 steps close out the End of Day.
