6.3.2 Print Daily Sales Invoice Proof Report

Use the Print Daily Sales Invoice Proof Report to verify the invoices that have been entered. Be sure that all information is correct before you "Post Invoices to Accounting" (6.3.3). You may sort the report by Invoice Number or Customer Name.


Paid Outs will be posted with Invoices, if setup in “AR Setup” in SYSTEM MANAGEMENT (10.2.2.1 field 20). Paid Outs will then be listed in this report.


Voids will be displayed as a separate count followed by a Total Item Count. Example: 202 Invoice(s), 6 Voids, 208 Total Printed.


The following are acceptable Transaction Types:  <D> = Debit Sales Invoices, <C> = Credit Invoices, <W> = Warranty Invoices, <T> = Internal Transfer Invoices, <CO> = Consignment Invoices, <CC> = Consignment Credit Invoices, and <PO> Paid Outs.

               

The following are acceptable Payment Terms:  CSH = Cash Sales, CHG = Charge Sales, COD = Cash On Delivery Sales.


You may view on the screen or print this report. You may only view the Summary Report.


The view screen function requires an AccuTerm© station or terminal capable of viewing 132 columns. Update fields 13, 14, and 16 in “Port Entry” in POINT OF SALE (1.10) to enable this function.

       

After the report is displayed to the screen you also have the option of entering a <D> to download the report to your local hard drive. When downloading the file, the path defaults to C:\TEMP but will use the setup in “Port Entry” in POINT OF SALE (1.10 field 16) for the download path. This directory must exist on the PC executing the download. The Windows© file name will be the report name concatenated to the port number, then .TXT. For example: ORDER.RPT10.TXT, where 10 is the port number or ORDER.RPT10TAB.TXT for the TAB Delimited file name.


If printing a Detailed Report, there are two additional options available:


You have the option of printing the Billto Customer and Shipto Customer's address on the report. The Shipto address will print similar to how it appears on an Invoice.


You also have the choice of Sorting this report by Billto Customer, Shipto Customer or no sort, as the primary Sort criteria. The secondary Sort criteria of Invoice Number or Customer will appear after the primary sort prompt.


The Merchandise (Mdse) Total on this report has the Discount amount taken out. If you compare this to the Mdse Total column on the “Print Posted Invoice Report” (6.3.7) and there is a Discount, the Mdse Total on the Posted Invoice Report will be higher because the Discount is not taken out of that column on that report.


There is an additional error check on the Invoice Proof Report. In the event the POS.INVOICE transaction type and the ORDER transaction type do not agree, the following error message will occur:  1.) In the Summary Report - the error count will be displayed at the top of the screen with the Void count. The Transaction Type on the detail line will be highlighted. Example:  1 Invoice(s) with Transaction Type Mismatch. 5 Void(s)  2.) In the Detail Report - the error count will be displayed with the other record counts after each section. Example:  143 Invoice(s), 5 Voids, 148 Total printed. 1 Invoice with Transaction Type Mismatch.
