6.3.7 Print Posted Invoice Report

The Print Posted Invoice Report will reprint your daily sales registers based on selected criteria.


Paid Outs will be posted with Invoices, if setup in “AR Setup” in SYSTEM MANAGEMENT (10.2.2.1 field 20). Paid Outs will then be listed in this report.


Voids will be displayed as a separate count followed by a Total Item Count. Example:  202 Invoice(s), 6 Voids, 208 Total Printed.


The following selection options are available:  Port Number and User ID refer to the Port or User that posted the items, Batch #, Customer Number, and Salesperson of Record.


The Date Range and the Accounting Period Selection criteria used together are very useful in isolating items that have a date that does not match the accounting period. For Example:  If you posted items on the first of the month and you have not rolled yet, the previous accounting period will be assigned even though the items are in the following month-to-date.


The following are acceptable Transaction Types:  D = Debit Sales Invoices, C = Credit Invoices, W = Warranty Invoices, T = Internal Transfer Invoices, CO = Consignment Invoices, and CC = Consignment Credit Invoices.

                       

The following are acceptable Payment Terms:  CSH = Cash Sales, CHG = Charge Sales, COD = Cash On Delivery Sales.

       

When printing this report, you will have an option, <Y> to Only Print items that have NOT been Fully Applied or <P> for Partially Applied items Only.


You may view a screen or print this report.


The view screen function requires an AccuTerm© station or terminal capable of viewing 132 columns. Update fields 13, 14, and 16 in “Port Entry” in POINT OF SALE(1.10) to enable this function.

       

After the report is displayed to the screen you also have the option of entering a <D> to download the report to your local hard drive. When downloading the file, the path defaults to C:\TEMP but will use the setup in “Port Entry” in POINT OF SALE  (1.10 field 16) for the download path. This directory must exist on the PC executing the download. The Windows© file name will be the report name concatenated to the port number, then .TXT. For example: ORDER.RPT10.TXT, where 10 is the port number or ORDER.RPT10TAB.TXT for the TAB Delimited file name.


You have the following report versions available:


<D>etail or <S>ummary Report.

<D2> for Alternate Detail showing Date, Time and Who Posted.

<S2> for Summary by Batch Number. (The <S2> version also has an additional column for Void Count. Note:  POS Ct Does Not Include Voided Invoices. Unapplied Count Only Includes Credit and Warranty Invoices.)

<D3> for Alternate Detail showing PO Reference, Applied Amt, and Balance.


If you select the <P>rint and <D>etail Report option, you will be prompted with the following additional options:


Enter <Y> to Only Print items that have NOT been fully applied.


Print Billto and Shipto address on the report? (The Shipto address will print similar to how it appears on the Invoice.


You also have the choice of Sorting this report by Billto Customer, Shipto Customer or no sort, as the primary Sort criteria. The next prompt will be:  Sort by <I>nvoice Number or <C>ustomer.
