Active Fax Setup
Previous Topic  Next Topic

For those customers who need to adjust the operation of their fax software the following setup is available from TCL. If you are comfortable using the update processor, the setup item is called FAX.SETUP, and is located in the MASTER File.

Attribute

Description

1

FXS.PREFIX will be prefixed to every phone number. For example - dialing 9 to get an outside line.

2

FXS.LD.PREFIX will be prefixed to all numbers where the first 3 digits do not match the location's area code. This setup should normally be set to 1. If it is not setup at all then the system will default to 1.

3

FXS.AC.LD.SUP. This stands for FaX Setup Area Code Long Distance prefix SUPpress. In other words, if the area code of the phone number does not match the location area code, but is found in this list then do NOT prefix a 1.

4

FXS.DESQFAX.LOC For customers that use Desqtop, enter the location where the Desqfax resides.

5

FXS.AC.REQUIRED  Enforces the area code if a 1 is entered.

6

FXS.SEND.EMAIL.ADDRESS  Sender's email address setup in MASTER FAX.SETUP, otherwise it will * default to what is setup in Active Fax.

7

FXS.COMPRESS.LANDSCAPE  The fax/email will print compress if any line in the document is greater than 80-characters long. This will print 8-lines per inch.

If an area code is required for dialing within the same area code as the main location (10 digit dialing), they can include the string ACDR (Area CoDe Required) in the alternate phone description for the fax number ("Vendor Entry" in INVENTORY (5.1.10.1 field 10) and "Customer Entry" in ACCOUNTS  RECEIVABLE (6.1.1 field 13).

4. There is a known Bug on some types of Multitech modems when receiving faxes. To correct this choose the menu COMMUNICATION->MODEM->MODIFY->EXTENDED. Enable the option "Reverse Bit Order for Incoming Calls". Do this setting only if you are having trouble receiving faxes.

5. Manually change Modem Type to Generic Class 1 Modem under Modem Settings for your current active modem. Also click on Extended and make sure the Enable Error Correction Mode is checked.

6. Create directory C:\ACTFAX on the main server and make sure that the folder is shared with full control access.

7. On the menu option in the active fax software, choose the menu COMMUNICATION->FILE SYSTEM. Setup active Fax to poll the C:\ACTFAX directory every 10 seconds. If the Active Fax Server is installed on the Main Server, click on the NEW button and then search, or browse to the directory. If Active Fax server is set up on another machine, see step 11.

8. In TCL type the following:

U MASTER FAX.SERVER

01 ACTIVEFAX

02 DOS:C:\ACTFAX

03 PERF.COV (If you create your own cover page this must be changed to use it!)

04 DOS:C:\Program Files\ActiveFax\Server

*There is a setup requirement on attribute 4 to point to the Server directory within ActiveFax. This is where attachments will be filed and picked up as attachments by the ActiveFax program when the file is emailed.

9. The PERF.COV file should be copied from \\PERF2K\FILES\TECH\ACTIVEFAX to the server where you are setting up Activefax under the drive where it is installed (ex: C:\Program Files\ActiveFax\Server). The customers can design their own cover page but we provide this one for basic usage.

10. In TCL type the following:

U MD ACTFAX

01 Q

02

03 DOS:C:\ACTFAX

11. If you cant see the modem, reboot and delete it and have the software find it again. With the new USB Multitech modem, load driver for modem from the CD, it works better then the one Windows loads automatically.

12. If the Active Fax Server is loaded on the Main Server, YOU ARE DONE. DO NOT CONTINUE WITH THE NEXT STEP.

13. If the Active Fax Server is loaded on another PC, you will need to create a Network drive from that PC to the Main Server.

On the PC, where the Active Fax Server is loaded, Go into Windows© Explorer and click on TOOLS MAP NETWORK DRIVE and browse to the ACTFAX folder that you created on the Main Server and make a share. PS. Make sure that the option to Reconnect at Logon is checked.

In Active Fax under COMMUNICATION->FILE SYSTEM click on the NEW button and then search, or browse to the Network Drive you just created e.g. (F:\)

Note that some stores have to dial a 9 before that can get an outside line. If this is the case, go to COMMUNICATION->MODEM, click on modem in the list and then modify then check the prefix box and type in 9, (comma is important because it causes the phone to pause and wait for dial tone).

NOTE: To receive faxes through a printer, open FAX SERVER->EXTRAS->OPTIONS->PRINTING, place a check mark in Automatically print incoming fax messages after receipt, and select the printer.

Receiving faxes through a fax machine

In Active fax under COMMUNICATION> MODEM, highlight the modem, click MODIFY, and uncheck enable incoming calls.

Receiving faxes through a printer (laser or inkjet)

Setup a printer on the PC where Active Fax Server is loaded. In Active Fax under EXTRAS> OPTIONS click on the PRINTING tab, check AUTOMATICALLY PRINT OUTGOING FAX MESSAGES and pick the printer you are using, and click OK.

If upgrading or installing to the latest version of ActiveFax:

Add this new setup in MASTERFAX.SERVER on attribute 5.
