Existing Customer

If an existing customer number has been entered, the following information may be displayed in the center of the screen: POS Notes (if entered in "Customer Entry" in ACCOUNTS RECEIVABLE 6.1.1 field 24 page 2), Authorized Buyer (if entered in the "Customer Entry" in ACCOUNTS RECEIVABLE 6.1.1 field 31 page 2), Last Buy Date (if customer has made a previous order and invoices have been posted), and Salesperson of Record. A maximum of 12 Authorized Buyers will be displayed. This information will be cleared when you enter a quantity amount on your order.


NOTE: The Customer Servicing Location will be displayed in the highlighted box just left of the colon (:). This feature is turned on in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2, field 62 page 4).


You may convert the Location prefix of the Order Number if the Customers Shipto Location differs from the Order (Port) Location, and no parts have been entered on the Order. If the Customers Shipto Location differs from the Order Location, a prompt will be displayed: “Order Location and Customer Shipto Location differ. Would you like to convert your Order to the Customers Location (Y/N)?”. If Yes, then the Order Location and the Port Location will convert to the Customers Location. This feature must be turned on in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 63 page 4). The Customers Shipto “Servicing” Location is setup in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 field 15 page 1).


If there are any Hold Orders for this customer, a list will be displayed. The Hold Ticket's original Date Entered will be displayed in the Help section of the order. This will help in determining how long this ticket has been on Hold.


NOTE: When placing a Debit Invoice (DI) or Transfer Invoice (TI) on Hold, all items will increment the Quantity on Hold (QHD) in the Inventory File. This amount may be viewed in “Inventory Entry” in INVENTORY (5.1.1 field 27) and “Inventory Inquiry” in POINT OF SALE (1.1 & 1.5) and PURCHASING  (3.3.1).


If the customer is ON HOLD, a warning message will be displayed. ON HOLD means that you may not sell to this Customer, not even a Cash Sale. This is used for Customers that are going out of business or that are seriously past due and you do not want to sell to them until the account is settled. Please refer to "Customer Entry" in ACCOUNTS RECEIVABLE (6.1.1 field 32 page 2).


The system checks the Past Due status of the Customer at the time the Customer Number is entered. This can be changed, in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 61 page 4), to check Days Past Due only when the Order is Finalized.


A Payment on Account is allowed for Customers that are ON HOLD. A Customer put on HOLD may not conduct any business, other than to make a Payment on Account. When a Customer is ON HOLD, you must first change the Order Type to <PA> before entering the Customer Number.
