After a Part Number is entered in "POS Order Entry" in POINT OF SALE (1.1), the system will check the Credit Limit for Charge Customers. If a charge (CHG) customer is over their credit limit, you will be prompted with the following: "Billto customer (xxx) xxx-xxxx is over Credit Limit, Press <ENTER>.” You may setup a Global Password to override the Credit Limit or use the Credit Manager Override option (explained below). If you are not set up for the Credit Manager, or Global Password to override a message will be displayed. You will not be able to override the credit limit. If you cannot increase the credit limit, you can change the CHG order to a CSH order to complete the order and collect cash.
The Credit Manager is the person assigned to make decisions about overriding the credit limit. This person must be available during business hours. Please refer to “Credit Limit Password” in ACCOUNTS RECEIVABLE (6.12).
If there is a Credit Manager assigned, Enter an <M> and press <ENTER>. The Credit Manager’s Port will beep and receive a message. The Credit Manager will send a password to by-pass the Credit Limit Lock. Type in the password and press <ENTER>. You will now be able to complete the order.
Please wait until the Password is sent. DO NOT press <ENTER> until after you enter the password.
You have the option of setting the Credit Manager Override Password to be carried with the Order, even if it is put on Hold. This means that once a Password is entered for the Order, it will not prompt for another unless the Order is more than one week old. Once 7 days has passed for the Order, the system will reset the flag and the Credit Limit will be in effect again.
The One Time Credit Limit Override is setup in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 28 page 3).
Unposted Invoices do not show up in the Customer’s Accounts Receivable, but are included in the Credit Limit check. If the Customer shows a zero ($0.00) balance when displaying A/R but the system is showing the Customer is over the Credit Limit, run the “Print Daily Sales Invoice Proof Report” in ACCOUNTS RECEIVABLE (6.3.2). This will allow you to view the unposted Invoices for this Customer. The Customer has charged the items, they just haven’t been posted to their account.
If a Customer is setup with a Billto Customer number, the Credit Limit comes from the Shipto account and the Balance comes from the Billto account. If the Balance is over the Credit Limit you will be stopped and prompted with a message that the Customer is over the Credit Limit.
TIP: If a Billto account has many Shipto accounts – enter the Billto credit limit in each of the Shipto accounts. Please note: Credit Limit amounts for multiple Shipto accounts are not cumulative.
You may setup a customer so that the credit limit may not be overridden at "POS Order Entry" (1.1). This is setup in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 field 43. Disable Credit Limit Override). This will prevent any override of the Credit Limit setup for this Customer.
There are three options available when the system checks the Credit Limit. This feature is enabled in “POS Defaults & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 42, Prompt Credit Limit, page 3). The options are: (1) Enter <D> or leave blank to check Credit Limit during Invoicing; (2) Enter <A> to check Credit Limit after the Invoice is entered; and (3) Enter <B> to check the Credit Limit both During and After Invoice entry. If set to After or Both, the Credit Limit will be re-checked if items are added to an order pulled off Hold.
If enabled, all programs that perform Credit Limit Checking can also be setup to check the credit limit of COD customers. This setup is found in "AR Setup" in SYSTEM MANAGEMENT (10.2.2.1 field 25).
