7.5.9 View a Check
Previous Topic  Next Topic

View A Check allows you to display an individual check and see what Payables were applied to the check.

For added security and privacy, you may set the system so that Payroll information would not be displayed on any report in ACCOUNTS PAYABLE.  Only the Check Number and Date of the Payroll Check will be displayed. The description would read Payroll.Auto or Payroll.Manual and the amount of any Payroll check would be zero (0). The amounts of the Payroll checks would not be added in any total in ACCOUNTS PAYABLE. The PAYROLL program must then be used if Payroll information is needed. Please refer to "Accounts Payable Setup" in SYSTEM MANAGEMENT (10.2.1 field 7).

The following information will be displayed:  Vendor, Type of Check, Check Date, Check Number, Gross Amount, Discount, Paid Amount, Date Posted, Date Reconciled, Batch Number and Journal Account number.

The following applied information will be displayed: Payable Name, Description, Invoice Number, Invoice Date, Gross Amount, Discount Amount, and Amount Paid.

The View a Check program has Drill down capability. At the Enter Selection prompt at the bottom of the screen you can "Enter Item" Number to view. Valid entries are 1 through the total number of items the check is applied to. If the item is an Accounts Payable item the program will drill down into "Payables Review" (7.3.1). If the item is a Payroll item the program will drill down into "Payroll Hours Entry" in PAYROLL (9.1.3), unless the flag in "Accounts Payable Setup" in SYSTEM MANAGEMENT (10.2.1 field 7) "Show Payroll Amounts in AP" is not set to <Y>.

You may scroll through the Payables with the up and down arrows. You may page through the Payables with the <PAGE UP> and <PAGE DOWN> keys.

The View a Check will display compressed if the <T>oggle option is chosen.
