10.2.4.1 Initial Load of Sales History

This section is used to initially enter the Sales History for any Part Number. The display will show sales and lost sales for the current year, and two prior years.


The Years available to update are set up in "General Ledger Setup" (10.2.3 field 7). Enter the year to update (example: 96) and press <ENTER>. You may move from year to year using the <UP ARROW> and <DOWN ARROW>.


You will need to enter the quantity of sales and the quantity of lost sales for the month. 


To display the Save and Exit prompts  enter a <?> and press <ENTER>.


You have the ability to Merge Quantity Sales (including Lost Sales). This is also available in Superseding Inventory Entry in INVENTORY (5.1.5). This process needs to be done carefully since it cannot be undone once completed.

When Superseding to an existing part number, the following prompt will now be displayed:


New Part #:  ABC.1

Part Number EXISTS.  Enter <Y> to Continue or <M> to Continue with Qty Sales Merge.  Other Part Information will NOT be Copied.   Continue (Y/N/M)?

Entry Options:

* Enter <Y> to Supersede Part Number with new Part Number.

* Enter <N> to Enter Different Part Number.

* Enter <M> to Supersede Part Number and Merge Qty Sales History.   Warning: Merging Qty Sales Cannot be Reversed by Unsuperseding.


After typing <M> to Merge, the Auto Supersede prompt may be displayed if conditions warrant. 

The ideal scenario would be to have both part numbers contain the same units of measure. If it is practical to do so, it is recommended that the units in the "new" part number be made to match the units in the "old" part number. Otherwise, the user must calculate a "Factor" to translate from one unit size to another. For example, if we are merging the Sales History of EACH to CASEs and there are 12 EACHes in 1 CASE then the FACTOR would be 1/12, or .0833. 

After completing the Factor grid, enter <C> to Continue. (Exiting at this point will abort the Supersede entirely.)  The next prompt is then displayed: Not Removing Sales History from Old Part Number will result in Duplicate Sales Information in Reports and Other Programs. Do you want to Remove Sales History from Old Part Number? (Y/N). Some users will want to leave the Sales History alone for the old part number; even though it is being added to the history for the new part number. To keep the overall qty sales information valid, it is recommended that the Old History be removed. After this prompt is completed, the merge is performed. Calculations involving fractional Factors will result in some Sales figures that include decimal values. The program will round to the nearest 10th (i.e. 5.276 becomes 5.3).

The Supersede Entry program will be the most commonly used application for merging, but if users have parts that have been superseded or inactive for some time that correspond to an active part number, Initial Load of Sales History has a <M>erge option as well. The user can pull up the old part and chooses the option <M> to Save and Merge. The user is prompted for Target Part Number, which defaults to the Superseding or Auto Superseding Part Number if applicable. After entering the Target Part Number, the Merge Qty Sales History screen is displayed. Follow the same process as in our supersede example.

The ideal time to merge the history is after all sales of the old part number have been posted.  However, when Auto Supersede is setup for a part number, this is not always feasible. The user needs the sales history immediately to permit accurate calculation of new order levels and stock levels on the new part number. In this case, the user can go back later (ideally after the Auto Supersede has actually taken place) and Merge the sales history again to pick up any stray remaining sales of the old part number. Very Important: It is imperative that Old Sales History is removed during the initial (and subsequent) merge(s) if this technique is to be employed. Otherwise, ALL of the old part's history will be copied AGAIN to the new part number.
