This section is used to set up the General Ledger Accounting Period and defaults.
1. Current Period - You will need to change this on the first of every month.
2. Fiscal Starting Month - you enter the fiscal accounting year not the calendar year. Enter the Beginning Month of the Fiscal Year. If you change this entry after Journal Entries have been posted you MUST REBUILD THE GENERAL LEDGER. Please call for help on that procedure.
Fiscal Starting Mo. Sales Analysis - It is required that you enter <1>, so that your sales data will be stored and presented in a calendar year format. Fiscal Starting Month for Sales Analysis Cannot be changed.
Interlocation Accounts - This is used for multi-location systems for allocation of Interlocation amounts when posting. You need to enter the Main Location used for this allocation. The System will create journal Entries in GENERAL LEDGER (8.1.1), for reallocating accounts so that they balance. This entry will not affect any financial information and is only used for balancing purposes.
3. Main Location - Enter the Main Location for the Interlocation Account. Enter <?> for Listing of Locations.
4. Account Prefix - Enter the Account Prefix for the Interlocation Account. Prefix must be a 2 or 3 Digit Number. Enter <?> for Listing of the Chart of Accounts.
5. Balance Sheet P&L Account - Enter the Balance Sheet Profit and Loss Clearing Account which will have to be Journal Entried manually at the year end to the Retained Earnings Account. Enter <?> for Listing of Chart of Accounts.
6. Income Statement P&L Account - Enter the Income and Expense Profit and Loss Clearing Account.
Enter <?> for Listing of Chart of Accounts.
7. Years - Enter 2 digit years in sequential descending order to maintain History in the system.
NOTE: They must be entered in descending order. You should limit the number of years to include only those years being maintained in the system.
8. Suppress Auto Inter Loc Prompt - Enter <Y> to NOT ask the question to do Automatic Interlocation Allocations during Posting of Journal Entries.
The program will still display the message that it is doing the Automatic Location Allocation but it will not require entering a <Y>. Enter a <Y> and press <ENTER> to NOT ask the question to do the Automatic Interlocation Allocation during posting of Journal Entries. Just press <ENTER>, to stop and prompt for Interlocation Allocation.
You may automatically balance transactions by location when you "Post Journal Entries to Ledger" in GENERAL LEDGER (8.1.3).
9. Periods. <O>=Open. <C>=Closed - Enter <O> to open period. Enter <C> to close period.
Closed periods cannot be posted to unless they are Opened.
You have the ability to set an Accounting Period as Open or Closed. Page two of the General Ledger Setup displays all Accounting Periods in descending, sequential order. The Accounting Periods are automatically generated based on the years entered on page one. When posting from any module, the program will check the status of the Accounting Period. If it is closed, an error message will be displayed and the posting will stop. (Example: 99/11 is a Closed Period. Please open before posting.”)
You may not post to a Closed Accounting Period; you must first open the period and then post.
10. Journal Date & Time Change Password - Enter Password to Change Date and Time in Journal Entry. Leave blank to not have a password for Date and Time Change.
The ability to change the Date and Time when making Manual “Journal Entries” in GENERAL LEDGER (8.1.1) may be password protected.
