This document takes a look at various reports and which ones should match.  It also discusses why there may be discrepancies.

Sales and A/R Reports

Posted Sales Summary Report        (PSSR)

Posted Invoice Report        (PIR)

Salesperson Commission Report        (SCR)

Sales Tax Report by Invoice Date        (STRID)

Sales Tax Report by Period        (STRP)

In theory, these reports should all match.  However, most theories fail if tested enough.  4 of these reports are based on Invoice Date, the only exception being the STRP, which is by accounting period.

STRID does not match STRP

• Does the accounting period match the calendar month?
• Are they multi-loc, and trying to compare loc to loc on the two reports?  Be aware that the STRP bases the sales tax on the servicing loc of each customer, regardless of which loc the customer made purchases.  On the other hand, the STRID bases its amounts off of the location in which the items were purchased.
• Did they post any invoices with an invoice date in one month, but in a different accounting period?

Use TCL to verify.

PSSR does not match SCR

• Do they have any customers with no Salesperson assigned?  Use TCL to find any.
• Do they have any Salespersons with no profit break and commission percentage assigned?
• Do they have any customers with a non-existent salesperson assigned?
• Be aware that recurring sales and some adjustments will affect the PSSR, and not the SCR.  Adjustments include any made to the A/R Setup accounts for: SALES TAX, FREIGHT, and RESTOCKING FEE.
• Any system down problems during that month?  Run a PIR for the same period and check against both reports.  Dial in and check data according to the findings.
• Run a detailed SCR for a given day and compare to a PIR run for the same day.  Also check against the PSSR for that day.
