Convert Back Order to Debit Sales Order

A Back Order may be easily converted to a Debit Sales Order. You may view a list of Back Orders by typing

<??> at the Order Number field. You may get a detailed list of the Back Orders in the “Back Order Report” (1.6.2). To Convert the Back Order to a Debit Order, enter the Selection Number of the Back Order to be converted, then press <ENTER>. You can also type in the order number for the Back Order if you know what it is. You will see a prompt: “Enter <C> to convert this Back Order into a Debit Invoice.” To convert the Back Order, enter a <C> and press <ENTER>. The new Debit Sales Order will be displayed.


The Quantity Shipped on a converted Back Order will depend on the “Quantity Shipped” flag in “POS Default & Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 10). If the flag is set to “O,” the Quantity Shipped will be based on the Quantity Ordered. If the flag is set to “H,” the Quantity Shipped will be based on the Quantity on Hand. It is possible to convert a Back Order and still not have items shipped.


When converting a backorder with the <C> option in "POS Order Entry", the program will check to see if the order is completely fillable. If not, you will be prompted with the following:


Order is Partially Fillable:

<C>onvert All, <P>artial or E<X>it.


Counts are also displayed showing Line Items that can be Completely Filled, Line Items that can be Partially Filled, Line Items that cannot be Filled.


<C> will convert the Back Order using the original quantities and part numbers on the DI. <P> will convert only those items that are completely or partially fillable. A new and separate order will be generated and will contain only those part numbers that are fillable. The quantities will be based on the current Quantity on Hand. The remaining items or quantities that are not filled will remain on the original Back Order. This option causes a new DI to split off of the original Back Order. This is the same way that Receiving handles filling Backorders if setup to do so. If the <X> is chosen, you will be returned to the Enter Selection prompt, effectively aborting the conversion.


When choosing the <C>onvert option, if the order is completely fillable, no prompts will appear and the program will work as it always has. If, however, no items are fillable on the Back Order, you will be prompted with:


No items on Order can Currently be Filled. Convert Order Anyway? (Y/N):


<N> = Abort Convert. You have the option of aborting the conversion, or allowing the program to continue.


After Converting to a DI, if you press <ESC> or <\>, the item will remain on Hold as a DI.


You may delete a Back Order. Enter the Selection Number of the Back Order to be Deleted, then press

<ENTER>. Type a D and press <ENTER>. You will be prompted with: “Order will be Deleted. Press <Y> to confirm”. Type a Y and press <ENTER>.


To View a Back Order enter the Selection Number of the Back Order to be Viewed, then press <ENTER>. The Back Order will now be displayed. After viewing type an X and press <ENTER>. The Back Order will now be put back on Hold.


While Viewing a Back Order you may Delete Line Items off of the Back Order. Type an L and press

<ENTER>. You will then be prompted for Part Number (If the Part Number is setup with multiple Units of Measure you will also be prompted for Unit of Measure) to delete off of the order. Once you delete line items, enter S or S\ and press <ENTER> to save the changes to the order.


The Convert Back Order will perform case-lot breakdown prior to repricing backorders, rather than after. This allows any pricing or special pricing that may be based off of average cost to be more precise.


The line item cost of case lot part numbers will also be updated after breakdown occurs, to reflect a more accurate cost and gross profit.
