6.4.8 Create Credit Card Payments

The Create Credit Card Payments program, which is dependent on the optional PC Charge interface software, will Create Credit Card Transactions for Customers that are setup for Automatic Credit Card Payment Processing. Please call Perfection Software sales department for more information on this optional program.


The selection criterion includes the following fields:  Invoice Number, Customer Number, Auto Payment Group, Begin and End Transaction Date, Reference Number, Include Unapplied Payments, Include Service Charges, Enter Salesperson Code, Send Confirmation. The begin date and end date range allows the user to pay a particular statement period, or all transactions up to the most recent statement date.


Special Note on "Reference Number" - This only affects the selection of Invoices (POS), Adjustments (ADJ) and Recurring Sales (REC) items. Special Note on "Include Unapplied Payments" - When specifying a Reference Number, the normal response is <N>o, but there may be some cases that the user would want to include them. Obviously, including them would reduce the amount of the calculated Credit Card Payment. If no Reference Number is specified, it is highly recommended to respond with <Y>es to Include Unapplied Payments. Not including unapplied payments in the calculation can result in creating a Credit Card Payment for more than the balance of the account. The program will default to the recommended response in both cases.


The program calculates a payment amount and assigns a Batch Number for the payment(s). This batch number will continue to be used by this port until the batch is posted. This allows the user to create several individual payments with one batch number. Note that Service Charges are optional to be included in the payment calculation, and Disputed Invoices are Never included in the payment calculation. Once the user types <C> to Continue, a request file is created and passed along to PC Charge. These request files are processed one at a time, so if the user selects more than one customer, each charge request will be handled individually. Successfully created Payments are applied automatically, along with any Credits that might have been included in the balance calculation. Printed Receipts and confirmations are also generated as each request is successfully processed. After all requests have been processed, a message displays the number of payments created.


Create Credit Card Payments new options (6.4.8)

There are several options in the Credit Card Payment processing:


Discount Percent or Amount:



This allows the user to specify a discount percentage or dollar amount that will apply to all customers selected for processing. Selected items would all be included in the calculation of the discount percent for each payment created.


Payment Amount            :


The user can create payment(s) for a specific dollar amount. If this option is selected, there will be no automatic application of the payment to open debits on the account. If for some reason a customer is making a flat payment and is also eligible for a discount, the Payment Amount would be the total A/R amount to be posted to the account. Example: 2% discount and $20.00 payment amount would result in a credit card charge of $19.60 (with a discount of $0.40).

Create Individual Charges:



Credit Adjustments will NOT be included if the option to Create Individual Charges has been selected. When selecting the option to create individual charges, all credit type open items will not be included in the calculation of the payments. An individual credit card charge will be created for each debit type item on the account.

However, the option to <E>dit the charges have not changed. There will only be one edit screen per customer for convenience, rather than editing each individual payment separately. Credit items cannot be accessed while in the edit screen.


Discounts must be entered as a percentage when utilizing this new feature, and individual receipts will be generated for each charge. Transaction limits will still be in force on individual charges, so it is possible that one invoice may generate multiple payments if the invoice amount exceeds the transaction limit for the customer. In this case, any discount amount would be applied to the first payment against the invoice.


Include Adjustments:



This Program will create an Unposted Batch of Credit Card Payments.



Begin and End Transaction Date prompts - Selection of open items will now utilize due dates (if present) instead of invoice dates on Point of Sale transactions.                                                                         


Additional error checking has been added to the processing program to catch potential issues prior to submitting transactions to the service provider.                                                                         


With the exception of the specific dollar amount payments, a new edit screen is available to review or modify payment information prior to generating the charges:

Based on the selection criteria of the Credit Card Payment program, open items are pre-selected and displayed. At this point, the user can clear selections, add more selections, edit the discount percentage or amount, or simply exit to look at the next payment. While editing the debit or credit items selected, many of the standard features are available, such as Range Select, Display, and Zoom. The user should always check the "Charge Amt" before <S>aving any changes. If this amount is less than or equal to zero, the payment will be removed from the list and no credit card charge will be created for this customer.


At any time during the review of the payments, using the <\> will exit the list and return the user to the Credit Card Payment screen. The total number and amount of the payments is recalculated and re-displayed. If desired, the user can choose the <E>dit option again. All previously saved changes will still be present; however, any payments cleared and removed during the previous edit will no longer be available for editing.


Once the user is satisfied with the payments, the <C>ontinue option will create the payments as specified. The Receipt print program has been modified to print the discount amount if present, showing the customer the total payment amount, discount amount, and the net charge to their credit card. If there is no discount, none of this additional information will print.
