The Zero Out QOH program is used to set All Part Number's Quantity on Hand to Zero (0). This is used for new installations and for those users just going on Inventory Control.
You may run this program for a particular location or All locations, a specific Manufacturer or All Manufacturers. If selecting All Manufacturers the program will ask you to verify if you want All Manufacturers at the Manufacturer prompt: “Are you sure you want ALL Mfr’s (Y/N)?” This will help to prevent zeroing out all the part numbers for a location when you only want to zero out one manufacturer.
A Salesperson Code must be entered.
You may select to Zero Out QOH based on Inventory Group Code. Enter an asterisk (*) in a Group Code position for pattern matching (example: 12* will select Group Codes starting with 12).
When Beginning Bin Locations and Ending Bin Locations are requested only QOH in matching bin locations will be zeroed out, not the entire part QOH.
You may select to Zero Out the Defective QOH when you zero out the QOH.
Please use this program with extreme caution. There is a password assigned for your protection.
When the Zero Out QOH program is executed, the items affected will be backed up into a sub-file of INVENTORY.LOC.
A prompt is available (up-arrow from the Location Prompt) to select a Restore File. If a user zero’s out the QOH and wants to reverse that action, or if some disaster struck (Ex. during physical inventory) after zeroing, the quantities can be restored. A lookup is available, and file details will be given for confirmation before proceeding with the restore.
Very Important
The restore is ADDITIVE in nature, it will not replace the current contents of QOH, it will ADD to what is present. In a worst-case scenario, where someone zeroes inventory accidentally and it is not discovered until a much later time, the restore will bring the QOH levels back to where they should be, since they are added to the current live QOH levels. ALWAYS make sure the correct restore file is selected.
Restoring is limited to whatever was initially cleared. For example, if QOH is cleared for PPG in location 3, the user could not use this restore file to restore 3M QOH into location 2. However, if ALL parts in ALL locations were cleared, and location 2 could not perform a physical inventory for some reason, the user could restore ALL parts just for Location 2. Restore options are limited to Location and MFR. If the Defective QOH was cleared also, it will be included in the restore file, and restored accordingly. Any Bin Locations that were present at the time of zeroing will also be restored, along with bin quantities.
“Quantity On Hand Tracking” (5.6.1.6.1) and the “Quantity On Hand Audit Report” (5.6.1.2) will reflect the Restore QOH incident, and Journal(s) will be created in General Ledger (if applicable) reflecting the reversal. Any problems encountered during the restore will appear in an exception report after the restore is completed. This would include issues such as superseded parts or unit of measure changes. All exceptions must be addressed manually.
