The Customer Account Status - Quick Summary is a great way to quickly reference your customers’ account information. The information may only be viewed and cannot be edited at this screen. It displays all pertinent account information for any selected customer.
Some important information displayed is: Service Location, Date Entered, Last Buy Date, Last Pay Date, Last Pay Amount, Credit Limit, Resale Tax Number, Price Code, Fax Number, Salesperson of Record, Payment Terms, Comments, Consignment Customer, Aging Date and Aging Amounts.
Customer’s Fax number will be displayed on the bottom highlight bar of the Customer Inquiry screen. The fax number is taken from the Alternate Phone Number field in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 field 13). The first Alternate Phone Number with the description FAX will be the phone number displayed.
There is a <H>istory option to view the A/R Balance History. Amounts have been rounded to the nearest dollar. Within the <H> option, you can enter <T> to toggle to a full screen compressed display. However, the <P>rint option is available from either display.
Note: The system will remember which mode (compressed detail or uncompressed summary) that was last used for each port.
The <D> option is available to allow the Account Status - Detail to be accessed from the summary screen (1.4 and 6.10.3).
There is a setup in POS Defaults and Comments (10.2.6.2 field 81) to turn this feature on.
The <I> option and <M> option was added to edit or show Customer Memos in Account Status (1.4 and 6.10.3)
There is a setup in POS Defaults and Comments (10.2.6.2 field 82) to turn this feature on.
The Customer Comments entered in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 <CO> option) may be viewed or edited. This feature must be turned on in “POS Defaults and Comments” in SYSTEM MANAGEMENT (10.2.6.2 field 52 page 3).
If you sell items to a customer on a consignment basis you may set up a separate Consignment Customer Account and link it to the main Customer Account. This will keep the consignment information separate but linked to the main account. The link is entered in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 field 41 page 3). You may view the Accounts Receivable total of a Consignment Customer that is linked to a Customer Account. This will give you the total picture when making decisions about collections and credit limits. The information is view-only and is not added to the main Customer’s Account Totals.
The Consignment Customer Account Name, Account Number and the Accounts Receivable total is displayed. Only those invoices that have been posted are added to the total.
The Aging Date is displayed towards the bottom of the screen. This is similar to the Aging Date displayed on the “Accounts Status – Detail” (6.10.2) in ACCOUNTS RECEIVABLE. It is important to view this date when you are comparing the Quick Summary to a printed AR Aging Report.
If a Routing List was generated and the Customer has a Ship Via in “Customer Entry” in ACCOUNTS RECEIVABLE (6.1.1 field 21), the Ship Via will be displayed.
The Customer's Unposted and Hold Order Balances are displayed - This is to get a quick view of all of the customer’s sales that affect their credit limit.
For example the following fields will appear on the screen:
