UPDATING INVENTORY STATUS FIELD

Part 1:

This document is designed to assist those customers who want to change the status of their inventory items that they do not sell, from active to inactive.  Note: this is not 100% accurate and it still needs to be manually checked but this is better than manually changing 100s of parts.

First go to TCL (go to the main menu and type in TCL)

Type in the following commands ……

Name of File?  INVENTORY

Attribute to change?  8

Enter Value?

Enter Sub Value?

Attribute to place in the field?  I

Are you sure you want to replace all attributes with I?  “Y” <enter>

Name of File?  INVENTORY

These steps just changed all 3M parts that is in the inventory file to inactive.  Next we changed all parts that showed a positive QOH back to active.  You can do this for any product line by changing the MFR code from “3M” to whatever the prefix is for the part numbers in the specific line.


Once you are confident that your inventory is accurate and the way you want it, you can now proceed to part two.

Part 2:

We now need to look at specific files to make sure they are the proper sizes to fit the new information of the inactive parts.  This will help your computer run more efficiently with having any undersized files.

First go to TCL (go to the main menu and type in TCL)

Type in the following commands.

Write down the size of the Active and Active.desc mod in both the tree and index files, because we need to match the sizes of active and inactive mods as well as the desc items.

Once you have copied down the information from above now begin resizing these files.

  1. Enter Primary file name if required comma Sub File name:  TREE,INACTIVE

Modulo=: 7

Enter new Modulo = 251

Backup Data (Y/N)? Y … <enter> … <enter>

Repeat this process for [TREE,INACTIVE.DESC]   [INDEX,INACTIVE]  &  [INDEX,INACTIVE.DESC]

To exit out of the PM.RESIZE program press <enter> when it asks for the next primary file name (after you have finished resizing the last file)


Part 3:

Now that you have changed the part numbers to active and resized the appropriate file you must rebuild your part number indexing and also your group code indexing.  Go to 5.6.6 “Rebuild Part Number Indexing” and if ready and no one is currently using the system, type in “Y” to continue.  When finished go to 5.6.7 “Rebuild Group Code Indexing” and repeat the process.


Now you need to run a MTD Quantity Sales Report (5.2.3). Make sure you choose to print out only the inactive parts.  This report will print out all parts that you have a sales history for during the periods you select.

Note:  This is an important report to run because we change the parts with a positive QOH but if you have parts that youve sold in the past but are out of stock on now you must identify those parts and manually make them active in 5.1.1.  You might also want to run a Physical inventory count sheet (only active parts) and compare the two reports to make sure you have all parts active that show a sales history.
