How Create an Automatic PO

  1. From the Main Menu go to 3.2.1, Generate Automatic Purchase Order.


  1. Enter your location number and hit ENTER.


  1. Enter the beginning and ending part number to create the order for.  If it's simply for a Manufacturer (MFR), then type in the MFR code for beginning and ending part number. (Example: NOR for beginning and ending part number fields).


  1. If you need to, use the sort code to select certain parts within a MFR line or hit ENTER for all.


  1. If you need to, use the Popularity Code to select certain parts within a MFR line by their Popularity, or hit ENTER for all.


  1. If you would like the PO to ignore any other PO’s out there for this line you are working on, you may enter “Y” to Ignore Quantity Already on Order.  If not, then just hit ENTER.


  1. Enter the Source for the parts.  The Source is where you will be buying from.  Use the “?” for a lookup if needed.


  1. If the source must be the Current Source Only, then say “Y” to this field.


  1. Next hit ENTER through the Use Sales History option and it will begin a generation of an automatic PO.  The system looks at the Vendor information for lead time, safety stock and order frequency, as well as the information in the inventory record for Order Level and Stock Level.


  1. The PO will then appear on your screen (if items have been generated by the criteria you entered), and you can now edit the items as needed in field 10.  Hit “10” and ENTER and each line items may be edited.  If there a great number of line items and you need to jump down the page, hit “G” and the line number to go there. (Example: G53 and ENTER.)


  1. When you are finished entering parts, hit backslash and ENTER.   This will bring you to the bottom of the screen.


  1. You can now choose from the options listed just above your cursor for your next step.


  1. You may print by hitting a “P”.  It says: <P>  = Print Short, Long or Pick PO.  You will then be able to specify the kind of PO to print. 


  1. You may hit an “I” for Special Instructions.  These will appear on the PO in a box marked “Special Instructions”.


  1. You may enter “SO” for a Sort Part Numbers.  This will put the parts in numerical and alphabetical order so the PO looks nice.


  1. If you need to leave the PO for a while then finish it later, you can always hit “S” to Save Purchase Order.


  1. If you would like to put a comment on the PO you can hit “CO” for a “Purchase Order Comment”.


  1. If you know you are finished with the PO, then you can hit “R” to “Release Purchase Order”.  The Releasing of a PO will allow you to go into Receiving and pull the PO up to receive it in.


  1. Hitting “R” to Release the PO finished your editing of the PO.  But let’s say you made a mistake and need to unrelease the PO to edit it further.  At the top of the Screen in Purchase Order Entry, enter the PO number and then hit ENTER.  Now you can hit “U” to unrelease it.  It will then ask you this question: “The Date Ordered, Due Date, Date Released and Date Backordered will be erased on this PO. Are you sure you want to Unrelease this PO (Y/N)?”  Say YES to this if you want to unrelease the PO.  You will see the screen go blank and then the cursor is up at the top of the screen—this is normal.  The PO has been unreleased, but you need to pull it up one more time to edit it.  It is now in the lookup.  Use a “?” to find it and pull it up again.  You can edit it at your leisure and then Release it when necessary.
