Inter-store Inventory Transfers

Use this document for setting up Point Of Sale (POS) Internal Transfers (TI) or Purchase Order (PO) Transfers between two company stores.


  1. If you are transferring through POS (TI) you must setup a customer in Customer Entry (6.1.1) for each location you are going to transfer to. If you are going to do PO Transfers then you must setup a vendor in Vendor Entry (3.5.1.1) for each location you are transferring from.


Vendor Setup

  1. Create a transfer vendor in Vendor Entry (3.5.1.1). It is recommended to use LOC# where # is the location number, but you can use any code you want.


  1. Next, setup each vendor code in PO setup (3.5.2) field 2. For example, if you created a transfer vendor code LOC1 for location 1 you would then enter LOC1 in field 2 in PO Setup (3.5.2) for this location.


Customer Setup

  1. Create a transfer customer in Customer Entry (6.1.1). It is recommended to use the location telephone number as the customer number. You may also want to create a Customer Code for each location (6.1.5.1).


  1. Next, setup each transfer customer number in Location Entry (10.2.5.1) field 9 for the location.


Making a TI

  1. An Internal Transfer (TI) is created Point of Sale (1.1).  Create a regular order. At the Customer Number field do an Up Arrow. At the Order Type field enter <TI>. When you do a <?> at the Customer Number field it will display the transfer customer numbers only. Complete the order as usual. When you enter line item on the order the order location inventory is relieved. When you finalize the TI the transferring location inventory is up counted. The cost is averaged also.


Making a PO transfer

  1. A PO transfer is the same as any other PO except that the vendor code is setup in PO Setup.  If you automatically generate a PO (3.2.1) for this vendor if does not have to be setup in the inventory as a source for each part you want to order.


Making a TI or a PO transfer from the Finalized Order Report

  1. You can make a TI or a Transfer PO from the Finalized Order Report (1.6.10).  This will useful for those users who do not have a valid Quantity On Hand (otherwise you could use the system to Generate an automatic PO) and want to just reorder what was sold in a particular time frame. This may also be useful if you do not have enough history in the system to automatically setup Order Level and Stock Level.


  1. If you enter <TI> or <PO> the Servicing Location must be entered above. This will be considered the location that the parts will be transferred to. 


  1. Prompts will then appear at the bottom of the screen for the following:                                                                                “Enter Location to transfer from:” and “Enter Counterperson (or Salesperson for PO) Code:”


  1. If you enter <TI> an Internal Transfer will be created from the parts on the orders selected. When the order is completed Quantity On Hand and Quantity On Hold of the transferring location will be affected. The order will be put on hold then brought up automatically in POS Entry. You will then have an opportunity to do whatever you want with the order.


  1. Note: you must delete the order (option <D> in POS Entry) to get rid of the order and reverse the Quantities affected. A comment similar to the following will appear on the order: “Internal Transfer created from finalized orders on…”


  1. If you enter <PO> a PO Transfer will be created from the parts on the orders selected. Regular PO Setup rules apply for rounding if above the Percent of Standard Pack or Purchase Quantity, and Checking the Transferring Location Quantity On Hand. When completed the PO will be brought up automatically in PO Entry just like generating an automatic PO. If you exit the PO Entry screen without saving, the PO will be Lost. Quantities are not affected until you either <R> Release the PO, or <CP> Copy the PO to POS Internal Transfer (TI). A comment similar to the following will appear on the PO: PO Transfer created from finalized orders on 17:42:07  21 Dec 1999 by 69 STEVE PM Loc: 1.


How is Quantity Sales History Affected?

  1. The standard setup is for POS TI’s to not affect Quantity Sales History and for PO Transfers to affect Quantity Sales History (you can view Quantity Sales History in Sales Review (5.1.3)).


  1. If you want POS TI’s to affect Quantity Sales History go to field 44 in POS Defaults and Comments (10.2.6.2) and set Update Sales Hist on TI to <Y>


  1. If you do not want PO Transfer to affect Quantity Sales History go to field 13 in Receiving Setup (4.3.4) and set Prevent Update to Sales Hist to <Y>.
