Perfection Software Upgrade Installer Checklist

Preliminary Considerations:
General AP/PRO to D3/NT Conversion Issues for Existing Customers


1. DESQTOP will have to be upgraded. DO NOT Flash Compile Desqtop programs.


2. IP Address schemes are as follows: 10.1.1.x for Loc1, 10.2.1.x for Loc2 and 10.3.1.x for Loc3.


3. PM.DIST was changed dramatically. Bring a copy of the new account with you.  Before converting make sure all updates (Send and Receive) are done on all locations or else they will be lost and it will become a support nightmare.


4. Important: PM.DIST. Make sure all machines are updated simultaneously because of all the changes. Be sure invoice and order numbers are higher on remote sites than the main store or there will be problems (especially on remote laptops).


5. PM.DIST will no longer use INFOLINKE. The data communications will depend on NTs native networking capabilities. If a customer does serial port transfers then a network will have to be put in.


6. It is much faster and more reliable. Modem transfers will be done using Dialup Networking or the Internet. The Internet requires a dedicated Internet connection at the Main to make this easy.

DEV-MAKE all devices. Only use nailed telnet ports. Use nonstandard telnet port and do DCD-OFF in the logon PROC.  Need map of all telnet ports and printers.


7. DX any accounts that are not pertinent to D3/NT (ex. InfoLinke, Bundle, AccuPlot, qa, pa, …).

If the Restore did not rebuild the B-tree indexes automatically then they must be rebuilt in Perform accounts (BASF, PPG, SW, WE) and PM. Use the menu in the Perform accounts and PM.INDEXES in PM. Or use NT_INDEXER account name in DM. NOTE: Remember to globally catalog all the programs first (CATALOG PL.PGM * (G).


A couple of suggestions when setting up network printers:

Set the printers up on the NT machine where D3 is running. Create the printer on the server and DEV-MAKE to the printer on the server, not the remote workstation where the printer is actually attached.  Only use DEV-MAKE commands. Do not use D3 device manager to create printers (ex: dev-make -t NTPrinter -n 27 -a “\\server\sharename”). Once spool jobs are in NT they are no longer available or controllable in D3. You would then have to use NT to control the jobs.

Set the printer properties to "spool on completion of job" if you are having trouble.

Is the Hardware correct? Work with the Tech Department on what, and where, hardware is being distributed. Print out a new copy of ticket and compare his Pick Ticket/s with yours and verify that they are the same.

16 If using Routers, be sure to have ports 5800, 5900 open, as well as 515 open for LPR printing.  Inform the router installer of this if it is not Perfection.

18 If using a Linksys router, be sure to the Filter tab and enable MTU and give it a size of 1492.

Also bring back the User ID and password (if any) and all routers.

5. Make sure to enter as much of the USER-COLDSTART as you can now.  Remember that the Dev-Makes for the printers, and the Startptrs are not together but separated in two different paragraphs.  Be sure to use a space between sections in the coldstart.  Be sure to use the COM.LINE as descriptions through the coldstart.

6. If the server is not here, then create the coldstart as a TXT file and take it with you on a disk.

7. If SYSTECH is being installed add NativeCOM on server while it is here.

1. Confirm at least 5 business days prior to installation date that equipment and software arrived. If it has not arrived, you are responsible for following up with shipping department.

9. If the HP is being used, know what the tape drive is to cover the possible scenarios:


a. If it is a Qic 02 or an SCT tape drive or Qic 3520 (Tandberg) then you will need to bring a tape and tape drive with you to do a save and a conversion



b. If it is a Tandberg 41XX or SRL5 then you will need to bring an Adaptec SCSI card to move the tape drive from their old machine to the new machine.  First try removing the tape drive cable in the HP and attach it to the Tape drive.  If this does not work and the HP server does not recognize the drive, then you will need to install the Adaptec card and the tape, reboot, then do the restore and conversion process.


10. If loading Active Fax :  Make sure you have a copy of PERF.COV file. It needs to copied into

the PC where you are setting up Activefax (ex: C:\Program Files\ActiveFax\Server). The customers can design their own cover page but we provide this one for basic usage.

BE SURE TO BRING A COPY OF THIS WITH YOU ON A DISK OR CD.

Also make sure that the PC that Active Fax Server is setup on, logs on as Administrator or has Admin rights. It is a good idea to reboot the system after the setup is done and tested, to make sure it still works after a reboot.




Final Thoughts Before Going on the Upgrade

3. If it is a lease then call the salesperson for instructions on giving serial numbers and getting the request for the payment two days prior to the install.

4. Bring hard copies of Backup doc, PM.DESKTOP and ActiveFax.

5. If Compaq workstations are on the ticket, print out a copy of the setup procedures to use on site.



Installation

Section 7

1. Introduce yourself to the owner and any employees that you meet.  Get any additional information or instructions at this time.


2. Inspect the area where equipment is being installed.

****Note: If customers server, use D3 & Server Checklist docs to load server.


3. Check and verify that all equipment has arrived


4. Start setting up the Equipment. If you have any problems with equipment then connect Mark or HW Tech and he will take care of replacing the device.


****Note: If we build the server (Not a HP) then you will have to open the case and make sure all the cards and cables are seated properly in the machine.  Then make sure the machine boots properly.  Be sure to put all of the manuals and documents in one box for the customer.****

Plug in the Battery Backup and allow it to charge for 2 days.  Check and make sure that the battery is connected properly on the inside so you may have to open the battery case.


Start testing the patchboard to make sure it is set up correctly


****You test the patchboard by plugging one cable into any port in the terminal server and the other end into the first socket on the patchboard. Then you connect a terminal into the patch socket with the same number and see if you get a logon. Then leaving the cable in the same port, move the cable only on the patchboard.  Do this for all the devices including printers to make sure the patches are right.  If you dont get a logon try moving the cable as the patch number might have been listed incorrectly. ****


5. Check to make the Server has right amount of RAM in it (refer to ticket to see the amount).


If Customer has purchased his own Server, keep these things in mind:

  • Terminal Services can not be loaded
  • Operating System can not be 2003 Server for Small Business
  • Must setup as a Workgroup and not a Domain





Installation Part 2 Procedure to move data from the old AP Pro to D3 server.

Section 8



Check Here

1. Have everyone log off the system.  They will be off until the new system is up and running.


2. You must first resize the old data by doing an F-RESIZE.  At TCL on APPro type F-RESIZE in DM


Also DX the sub files in PM.  LF ACCOUNT and all files except for Account, need to be DX ed. Do a UD ACCOUNT XXXX(file name) then change D to DX then Crtl-X to File.


3. Place a tape in the tape drive

4. Type T-STAT find the number that has the tape drive.  You will use this number in the next line.


5. Type T-SELECT and the number of tape drive (i.e. t-select 4)


6. Type T-REW


7. Type ACCOUNT-SAVE PM.  You can also do a complete file save at this time if moving more than one account.  If you have Desqtop then be sure to do a save of that account as well. ***NOTE: You can do a Save File in Menu which will be easier.****


8. After the account save then type T-VERIFY (A this will verify the data is okay.  There might be some changes so dont worry if one or two files dont match.

Note: If going from a full file save it will already do it, so you can then skip this step.


9. Now you must remove the old tape drive from the APPro machine.  Only do this if the new machine is using a different size tape for the backups. 


10. Power off both servers and then remove the covers


11. On the APPro machine detach the ribbon cable and power supply from the tape drive and remove the tape drive and ribbon cable from the server.


12. Take the old tape drive and set it on a cardboard box near the HP server.  Remove the SCSI cable from the HP drive and plug it into the other tape drive sitting on the box.  Do the same with the power supply from the HP tape drive and attach it to the other drive.  Be sure the power and SCSI cable are not in the HP Drive.  It should be off while this transfer is taking place.   If the SCSI cable does not fit the other tape drive then you will have to resort to using the card you brought but still be sure not to use the HP drive and this drive at the same time.  Therefore, insert the Adaptec SCSI card into a PCI slot on the main server. 


13. Attach the tape drive to the Adaptec card with the ribbon cable. 


14. Note: If you are installing on an HP you will need the extension cable for the power supply as they use a short plug on their machines. Also you can use the existing SCSI card in the server if you bring the 50 PIN F - DB68 F SCSI ADAPTER to connect cable to the customer old tape drive.


15. Power up the new server.  Note:  Windows should automatically detect the SCSI adapter and load the drivers itself.  It may also detect the tape drive as well but you will need to verify this after boot up in Device Manager.


16. Verify that the SCSI card and drivers as well as the tape drive and drivers are loaded by right clicking on My Computer®Manage®Device Manager. You should be able to see SCSI Card and Tape Drive, if ? are showing up then load the drivers for the tape drive.


17. Place the tape in the tape drive if it already isnt there and go to TCL in DM.   Do a T-STAT and see if there is a ¾ inch tape drive, not a 4mm


18. If you have a 4mm tape drive and nothing else, you must remove the old tape drive by doing a DEV-REMOV.



Example: Dev-remov m3, you can find the number by doing a dev-list and looking under tape devices.  Then you will need to do a dev-make.  Example: Dev-make t tape a “\\.\tape0,q”. Now you can test the drive.

For 4mm DAT Tape Drive, the dev-make that is created in Device Manager will not work. Create manually with this command:

Dev-make t tape a “\\.\tape0,d,h,f” then do the restore.


19. Now you must test the drive to see if it works. First do a T-SELECT and the number of the tape drive, then hit <enter> then do a T-REW then hit <enter>.  Then do a T-READ and hit <ENTER>.  Did you get the last file save?  If so you may begin.


20. Load the first account, normally you will only need to load in PM however sometimes you will have multiple accounts and each one needs to be loaded separately and in order they are on the tape.  You load the accounts by typing ACCOUNT-RESTORE FSI:PM (Z, changing PM to the name of the other account you will restore. When asked <ENTER> (Account name on tape:) <enter> PM or the other account you are restoring.

*BE SURE TO LOGOFF AND BACK ON INTO DM AFTER THE RESTORE.


21. After restoring all accounts, you will need to add the users back manually.

ADD.USER in PM


22. Now you need to update the accounts.  In DM type UPDATE-MD then hit <enter>. Enter the name of the accounts you will update one at a time. PM, etc. Create user ID from each account name? N = NO. Then hit enter to get out.


23. From PM type BUILD.FILES then hit <ENTER>.


24. After building files, in PM,  then type PM.INDEXES then hit <ENTER>.

Also go into PM.PROGRAMS and a COMPILE.ALL


25. After indexing files then type U MD PM.  Add DCD-OFF prior to the line MAIN.MENU. Distinguish whether it is a proc or not.  Take out all Ps Hs and then make sure you remove the Q on line 1 and then put in its place an “N”


26. *Note: If D3 7.4.1. You will need to go into PM and do:

           DELETE MD POINTER-FILE

           CF POINTER-FILE 1 37

           U MD PF (clear the attr. that has DM) then Crtl-X F to file


27. Type SORT CURL in TCL to verify that Curl is installed and D3 can see it. If not then create the Q-Pointer.   U MD CURL

28. You must edit the backup files at this time.  Note: See page 4 of the D3NT Backup document

NOTE: If you are installing Desqtop and need another com port for the Monolith Modem, do the following:  Do a proper shutdown of D3; Reboot the computer; Hit F2 to get into the BIOS; Hit <enter> on I/O Port Settings; Hit <enter> on Serial Ports; Change the com port from “Managerial Port” to “Serial Port.”  Save and Exit the BIOS.  Boot the computer back up the com port should work fine as com 2.


30. U MASTER INDEX.SETUP and enter in seven 8s.  This is in case there is a problem logging on.


31. Do a shutdown and attach the new HP drive back up and close the case.


32. Check to make sure the BACKUP.LOG is an icon on the desktop.

Map a drive from one machine to the other as the S: drive for SAVES.  Make sure they have enough hard drive space (they will need a 20 gig drive or higher for space.)

*Note if a Compaq Server using VXA Tape Drive is sold the above backup process will not be used. Retrospect Express will be setup and use the setup doc in support.


2. Call Perfection Software to test the support modem (should be on com1 or 2).


3. Label the six backup tapes (Mon., Tues., etc.) and explain backing up if necessary


4. Label cables and monitors with the port numbers.


5. Fill out and mail the Pick Registration card. 


6. Make a diagram of the store in the Red Book with all relevant devices, locations, and port numbers. (Make sure to label all the ports, IP addresses and devices before leaving the install).


7. If it is a lease then call the salesperson for instructions on giving serial numbers and getting their quest for the payment two days before you leave.


Pick up check for Airfare, Freight and balance on invoices if this is not a lease.


8. Be sure to check and see if all labels have been placed on devices with our phone number.


9. On distributed, be sure to set the remote site higher on invoice and order numbers than the main store otherwise the remote store will overwrite numbers at the main.  The resync doc for this prompts you to set the numbers.  BE SURE they are high enough.


10. If SYSTECH installed, load NativeCom on the server.


11. Tape a copy of the Shutdown procedure next to or on the server and go over it a couple of times with the customer.


12. Make sure to leave the following items: Program Request Forms, CDs,


13. Go over this entire checklist again and be sure everything has been accomplished.


14. Be sure to bring back all papers in the Red book unless there is a note on it to leave with the customer. Leave travel itinerary info in book.

5. Fill out expense report (cash receipts are stapled together along with the report; VISA charges are stapled together separately) and leave in Cindys box.



6. Create a VISIO layout for site, based on diagram from location.



7. Send e-mail to Support Manager to update Customer Comments with Dialup and Server IP info.



8. If Upgrade is done over the phone and installer is not going out to customer site then send e-mail to SALES, when upgrade is complete.
