5.6.2.6 Activate Preloaded Prices

The Activate Preloaded Prices program must be run to activate any price changes that have been preloaded in "Preload Prices Entry" (5.6.2.1), “Load Perfection Price Update” (5.6.2.2) or "Automatic Markup of Prices" (5.6.2.4).


The Effective Date is saved in a list from “Preload Prices Entry” (5.6.2.1), “Load Perfection Price Update” (5.6.2.2) and “Automatic Markup of Prices” (5.6.2.4). There is a lookup available of effective dates.


You have the ability to Send Email Notification when new prices are activated. This feature is used primarily for inter-office or administrative purposes.


If <Y> is chosen, another prompt will appear to allow users to enter a list of Email Addresses.


After entering the list of addresses, one final prompt will appear for an Additional Note. This window prompt will allow you to add specific details to the email, if necessary. Once the price activation has completed, the emails will be sent.


The list of email addresses will be saved in MASTER APP.EMAIL to be used for the next activation of prices.

You may Maintain Gross Profit Structure (if cost is being loaded now). PLEASE CALL FOR SUPPORT if you do not understand this option completely.


If "Update All Locations" is "Yes" in "Inventory Setup" in SYSTEM MANAGEMENT (10.2.4.2 field 1 page 1) in a multi-location environment, and you answer Yes to Maintain Gross Profit Structure in this program, the location that is preloaded (usually 1) will be the cost base for calculating the Gross Profit and the new price. This price will be copied over to the other locations. A possible problem could arise if the other locations have a cost different from this location. If you have any questions using this feature, please call Perfection Software.


If cost is being changed and you want to maintain the Selling Price Gross Profit Levels, you will be asked a series of questions. If you are updating multi-locations, and "Update All Locations" is set to Yes in "Inventory Setup" in SYSTEM MANAGEMENT (10.2.4.2 field 1 page 1), the base cost will usually be the cost from the main location. Be careful in using this feature if locations have different costs.


Enter the Cost Price Code being updated, and press <ENTER>. This should be either Price Code 98 (Replacement Cost) or 99 (Warehouse Cost).


You may choose to have your Warehouse Cost (Price Code 99) based on Average Cost or Replacement Cost. If the Replacement Cost Flag is set to Yes in “Inventory Setup” in SYSTEM MANAGEMENT (10.2.4.2 field 7 page 1), then when the Warehouse Cost (Price Code 99) is affected, the Warehouse Cost will be overwritten to the new Replacement Cost (Price Code 98) instead of averaging. Price Code 99 (Warehouse Cost) will always be equal to Price Code 98 (Replacement Cost).


Press <ENTER> to accept the default of <I> to only increase the Selling prices based on the new cost. This means that the prices will not be decreased if the cost is lower than the current cost. If you want the prices to decrease if the cost decreased, enter an <N> and press <ENTER>.


Enter the Price Codes to update and press <ENTER>. If there are more than one Price Code, separate by spaces. (Example: 1 5 7)


There is a prompt to print a Cost Variance Report if activating a change to the Warehouse Cost. This will print the Location(s), total Quantity on Hand, Old Value, New Value and Variance.
